Please read these terms carefully. If you book a service with us, the specific arrangements will be set out in a separate service agreement.

2. Definitions

In these Terms and Conditions:

  • “We”, “us” and “our” refer to Holistic Community Care Limited, providing services under the name International Nursing Escort.
  • “You” and “the Client” refer to the individual, family, organisation or other party enquiring about or booking our services.
  • “Patient” refers to the person receiving nursing, care or escort support.
  • “Services” refers to the nursing escort, carer escort, repatriation support and other related services we agree to provide.
  • “Service Agreement” refers to the agreement setting out the details of the services to be provided.

3. Our Services

We provide nursing and carer escort services to support patients travelling within the UK and internationally. Depending on the patient’s needs and the arrangements agreed, services may include:

  • Nursing supervision and support during air or ground travel.
  • Carer support with mobility and personal care.
  • Humanitarian and repatriation support.
  • Escorts from home to a hospital or medical appointment.
  • Support for journeys from hospital to home.

The services available will depend on the patient’s assessed needs, the journey and the availability of suitable staff and travel arrangements.

Submitting an enquiry does not guarantee that we will be able to provide a service. We will confirm the proposed arrangements before a booking is accepted.

4. Service Agreement

All services are subject to a formal Service Agreement. This will set out the arrangements for your booking, which may include:

  • The scope of the services.
  • The patient’s care and support requirements.
  • The proposed journey and dates.
  • Fees, deposits and payment arrangements.
  • Any agreed travel costs and other expenses.
  • Cancellation and refund arrangements.
  • The responsibilities of each party.

The Service Agreement must be agreed and signed by both parties before services begin. If there is a difference between these website terms and the Service Agreement, the Service Agreement will apply to the extent permitted by law.

5. Fees and Payment

Fees and payment arrangements will be confirmed in the Service Agreement or quotation.

We may require a deposit before making arrangements or confirming a booking. The amount and payment deadline will be explained before you enter into the Service Agreement.

Fees will be stated in the currency shown in the quotation or Service Agreement. Any applicable taxes, travel costs and other expenses will be identified in the quotation or agreement.

Where additional services or expenses become necessary, we will discuss these with you as soon as reasonably possible. Any additional charges will be subject to the Service Agreement and applicable law.

Late payments may be subject to interest or other charges where these are specified in the Service Agreement and permitted by law.

6. Cancellation and Refunds

If you need to cancel or change a booking, please contact us as soon as possible using the details in section 14.

Cancellation charges and refund arrangements will be explained in your Service Agreement. These may take account of work already carried out and costs incurred, including any applicable third-party booking or cancellation charges.

Depending on the circumstances and the type of contract, consumers may have a legal right to cancel. Nothing in these terms or the Service Agreement affects any cancellation or refund rights you have under applicable law.

If we need to cancel or change a service because of unforeseen circumstances, we will notify you as soon as reasonably possible and discuss the available options, including any refund due under the Service Agreement and applicable law.

7. Patient Information and Travel Arrangements

To help us assess and plan the service safely, you must provide accurate and complete information about the patient’s condition, care needs, medication, mobility and any other relevant requirements.

You must tell us as soon as possible if the patient’s condition or circumstances change before the journey.

The Service Agreement will explain who is responsible for arranging or obtaining travel documents, visas, medical information, fitness-to-travel confirmation and any approvals required by airlines, transport providers or other relevant parties.

Fitness to travel must be assessed by an appropriate healthcare professional. Airline or transport provider approval may also be required. Providing an escort service does not replace these assessments or approvals.

If relevant information is not provided, or if the patient’s condition means the proposed journey cannot safely proceed, we may need to review, postpone or cancel the arrangements. We will explain any resulting changes or charges in accordance with the Service Agreement and applicable law.

8. Medical and Care Support

The care and support provided will be based on the patient’s assessed needs and the services agreed in the Service Agreement.

Nursing and care escorts will work within their professional qualifications, training and the agreed scope of their role. An escort service does not replace the patient’s treating clinician, emergency medical services or any medical assessment required for travel.

We cannot guarantee that a journey will be free from medical complications, delays or other unforeseen events. If a medical emergency arises, our staff will respond in accordance with their training, professional responsibilities and the circumstances.

9. Third-Party Providers

A journey may involve airlines, transport companies, hospitals, accommodation providers or other third parties. Their services may be subject to their own terms and conditions.

We will explain in the Service Agreement which arrangements we are responsible for making and which are your responsibility.

We are not responsible for delays, cancellations or other issues caused by third parties where these are outside our control. This does not limit any responsibility we have for our own acts or omissions, or affect your legal rights.

10. Liability

We will provide our services with reasonable care and skill.

Nothing in these Terms and Conditions excludes or limits our liability for:

  • Death or personal injury caused by our negligence.
  • Fraud or fraudulent misrepresentation.
  • Any other liability that cannot legally be excluded or limited.

Nothing in these terms affects any statutory rights you may have as a consumer.

Any further terms relating to liability will be set out in the Service Agreement and will apply only to the extent permitted by law.

11. Privacy and Confidentiality

We recognise the sensitive nature of personal and medical information and will handle it in accordance with applicable data protection laws and our Privacy Policy.

Where necessary for the provision of services, information may need to be shared with relevant healthcare professionals, airlines, transport providers or other parties involved in the patient’s care and journey. We will only share information where there is an appropriate legal basis to do so.

For more information about how we collect, use and protect personal information, please see our Privacy Policy on the website.

13. Changes to These Terms

We may update these website Terms and Conditions from time to time. The latest version will be published on this page.

Changes to the website terms will not automatically alter a Service Agreement that has already been entered into. Any changes to an existing agreement will be handled in accordance with that agreement and applicable law.
